Who processes the data

Invoicing

For customers with a Portuguese tax number and address, invoices are issued by Sónia Paula Fernandes Minderico Pereira, tax no. 212578936. For customers with a tax number or address abroad, they are issued by Ventura Pereira — Contabilidade e Informática, Lda. (SmartSYS). Invoicing data (name, address and tax number) is processed to meet tax obligations and kept for the legal period.

Entities involved in invoicing

The website and the service are operated by Ventura Pereira — Contabilidade e Informática, Lda. (SmartSYS). For customers with a Portuguese tax number and address, invoices are issued by Sónia Paula Fernandes Minderico Pereira; for that purpose, invoicing data is shared with Sónia Paula Fernandes Minderico Pereira, who processes it only for invoicing, accounting and tax compliance. For all other customers, invoices are issued by Ventura Pereira — Contabilidade e Informática, Lda. (SmartSYS).

Account and payment data

When you sign up, we process your name, email, country, tax number and billing address, the plan you chose and your payment history. Payments are processed by an external payment service provider; SoundFlux does not store full card details. The legal basis is performance of the contract and compliance with tax obligations; invoicing data is kept for the legal period.

What we collect

Name, email and the text of the messages you send in support requests and to the Apex assistant. To limit abuse we keep an irreversible fingerprint of your IP address (a hash), never the raw IP.

Listeners, statistics and IP addresses

For audience statistics (including the listener map in the panel), the streaming server records listeners’ IP addresses and technical data such as the player used and connection length. For this data, each radio’s owner (the customer) is the controller and SoundFlux acts as processor, handling it only to provide the service and keep it secure.

Uploaded content

The audio files and other content you upload (music, jingles, playlists) are stored on our servers only to provide the service, and we do not use them for any other purpose. You are responsible for holding the necessary rights to them.

What we use it for

To answer your requests, deliver the service you buy and protect the site against spam and abuse. The legal basis is steps prior to and under a contract and our legitimate interest in security.

Apex assistant

Questions asked to the assistant are processed by Anthropic to generate the answer. Do not share passwords or sensitive data. Conversations are kept for up to 30 days.

Anti-spam check

When enabled, we use Cloudflare Turnstile to tell people from bots. It may process technical data from your browser for that purpose.

Providers and transfers to third countries

We use infrastructure providers (server hosting and web hosting) and, for the Apex assistant, Anthropic and, for the anti-spam check, Cloudflare, both processing data in the United States. These transfers rely on the European Commission’s standard contractual clauses or, where applicable, the EU-US Data Privacy Framework. We do not sell personal data.

Cookies

We do not use tracking or advertising cookies.

Retention

Support requests: as long as needed and for the applicable legal period. Assistant logs: 30 days.

Your rights

You can ask for access, rectification, erasure or objection by writing to suporte@soundflux.eu. You also have the right to complain to the Portuguese data protection authority (CNPD, cnpd.pt).
